Accommodation and services
No two places are the same, but there are some factors that seem to be common to all places. Whatever accommodation and services you require, you must ensure that the providers have:
good references that you have verified and confirmed,
a security policy that you can prove, for example, by showing you copies of your security policy and safety training and procedures,
risk assessments in relation to the equipment and/or services that will provide you, and
civil liability insurance: they must be able to present a certificate to prove they have it.
Office of the place manager
It is important that there is a recognized central control point and that it should be the office of the site manager. Although the office does not have to be central to the site, it must be easily identified, known to all staff and hopefully accessible from the main entrance on the main road.
The place manager's office must have electricity, heating (depending on the season), water supply, tea and coffee making facilities. You should also have a quiet and private section or office for the site manager to use. For larger places, there should be a radio or other communications with the local staff. A supply area will be required, which contains first aid materials, poster writing equipment, staff badges/labels, reflective/fluorescent jackets, writing material, pens, and Umhlanga, etc.
Depending on the size and duration of the place, the site manager and his staff may need to use a telephone. Some furniture will be needed: chairs, desks, etc.
You may need windows that face the floor of the enclosure, with shutters to protect the windows if the office is going to be unattended during the night. For a larger place, it is good to have a large dry erase board available, or a hard cardboard sheet painted bright white, where the site manager can write the key details. This board contains the names of other managers, radio call signals, mobile phone numbers, etc.
